Leisureworld Caregiving Centre – O’Connor Gate is home to 158 residents and currently has an opening for a Permanent Full-Time Office Manager.

Reporting to the Executive Director, the Office Manager is a key member of the management team and is responsible for managing the day-to-day operation of the back office as it relates to administration processes, reception, resident accounts, records management and accounting procedures for the Home.

As a valued member of the team, the Office Manager demonstrates a commitment to resident safety by providing quality care in accordance with organization’s vision and mission.

RESPONSIBILITIES (But not limited to):
Employee Services
• Liaise with all employees regarding on-boarding requirements, benefit forms, medical requirements, process for time off, changes to employee profiles etc.
• Create, maintain and update employee files, both hard copy and E-files, for all staff, including ensuring documentation is on file for payroll, in-services and any disciplinary action taken for staff; and building separate files for specific medical diagnosis.
• Build and maintain partnerships with Employee Service Centre to manage any human resources or payroll related issues and/or documentation for all staff.
• Support management team with Employee Service Centre issues or questions, including assisting with recruitment based on operational needs.
• Orientates new staff on computers.
• Back up for Scheduling Coordinator as needed.

Admission Process & Resident Accounts:
• Leads and manages the admission process in conjunction with Resident Relations Coordinator. This includes but, not limited to, meeting with the resident and the family/Power of Attorney on the date of admission to complete the resident contract and related documents such as the rate reduction form, exceptional circumstance form, and consents for services, as well as introducing the resident/family/POA to the Home and its operations.
• Manages and record all accounts receivable functions to ensure accurate record keeping.
• Prepares resident invoices and process for payment.
• Manages record and disburse residents trust account monies.
• Control all banking functions including general account deposits at local bank, trust account deposits and monthly bank reconciliation.
• Maintain an operating petty cash and trust petty cash fund for disbursement as required.

Back Office Responsibilities:
• Recruits, hires, trains, promotes, transfers and dismisses department staff in consultation with the Executive Director and Human Resources.
• Supervises all performance related activities of the Department staff
• Handles employee relation issues, including disciplining staff, according to Human Resources guidelines. Engages Executive Director and Human Resources department for advice as needed.
• Knowledgeable of the Residents’ Bill of Rights.
• Managing WSIB claims and minimize negative impact to NEER statement;
• Manages the Return to Work process and/or arranges modified work programs for department employees
• Leisureworld is a 24/7 operation, flexibility to work a variety of shifts as required operationally.
• Other duties as assigned

• Two years management or leadership experience, preferably in the long-term care or health care environment, or an equivalent related education and experience combination.
• A minimum of 2 years experience in financial management as it relates to the operation of the Department.
• At least 2 years of previous accounting and bookkeeping experience in a professional environment dealing with senior staff and external clients is necessary.
• Advanced skills in MS Office gained through extensive experience using Word and Excel.
• Long term care or health care experience an asset.
• Strong inter-personal, organizational and co-ordination skills with the ability to effectively manage time, priorities, issues and multiple tasks.
• Ability to work independently with minimal direction and as part of a team.
• Excellent communication and customer service skills.
• Aptitude for detail.
• Ability to deal with confidential matters.
• Diplomatic, detail-oriented and flexible with various work assignments
• Must have effective verbal and written English communication skills.

• College Diploma in Accounting or Business Administration required.
