Job Description:

Salary: $50,000 - $60,000

Position Summary: Our client, is a leader in the Real Estate Industry. Currently, they are looking for a Bilingual Commercial Leasing Administrator to add to their already talented team. The Commercial Leasing Administrator will provide support and services to the Senior Commercial Property Manager with respect to the commercial portfolio. The Administrator will administer and maintain all leasing documents in a formal electronic filing system.

Responsibilities:

- Responsible for ensuring lease files are complete, correct and entered into system.
- Follow up on missing or incorrect documentation.
- Verify all data entry is accurate and then compare information with the lease agreement.
- Incorporate all new offers to lease and leases into leasing file system (i.e. allocate file numbers; initial review of offers to lease and/or leases; identify important provisions; and complete relevant information for leasing file system).
- Review notices of lease prepared by tenants; ensure the notice accurately reflects the terms of the Lease; arrange for Landlord's execution of same.
- Liaise with Accounting, Leasing, Construction, Legal and Finance departments as required.
- Maintain system of leasing files and records, including opening, closing, removal from the file system; continuous updating of tenant information on all books and records.
- Handle inquiries with respect to leases and lease summaries as they arise.
- Monitor lease agreements to track expiry dates for renewals and terminations and preparation of notices to landlords on a timely basis.
- Abstract critical lease information including dates, financials and essential clauses for use by team members and relevant departments.
- Ensure accurate and timely updates of notes and financials.
- Produce lease related reports as required.
- Liaise with various departments ensuring deadlines are met.
- Provide general administrative support as required.

Qualifications:
- University Degree/College Diploma in Administrative Studies or similar.
- Minimum of three years of experience in (Commercial) lease administration.
- Experience in Real Estate Law an asset.
- Must be very familiar with lease terminology.
- Excellent oral and written communication skills with the ability to effectively communicate across all levels within, as well as outside the organization.
- Must be able Fluently Bilingual (English/French).
- Must be able to write in French and draft leasing documents in French.
- Proficient in MS Word and Excel.
- Ability to handle multiple priorities effectively.
- Detail-oriented, highly organized and excellent time management skills.
